1.0 Scope: This Standard Operating Procedure (SOP) is applicable to all personnel involved in the transportation of raw materials for the production process.
2.0 Purpose: The purpose of this SOP is to establish guidelines for the safe and efficient transportation of raw materials from the supplier to the production facility.
3.0 Responsibilities:
1. Production Manager will be responsible for supervising the transportation process and ensuring that all relevant safety and regulatory requirements are met.
2. The Logistics Manager will have the authority to approve and monitor the overall transport operations.
3. All personnel involved in the transportation of raw materials should follow this SOP.
4.0 Procedure:
1. Supplier Preparation
a) Receive all raw materials in accordance with the Purchase Order (PO) requirements.
b) Check all packaging, labels for necessary information including product name, quantity, packaging instructions, and hazard classification.
c) Accurate documentation of the received items to be maintained through paper records or electronic tracking systems.
2. Loading Standards
a) The vehicle must be compliant with transportation regulations (local as well as international) such as emission standards, vehicle blocking, and load bearing capacity as per the supplier order.
b) All personnel must wear the required Personal Protective Equipment (PPE) during loading activities.
c) Ensure the loading of raw materials securely and evenly distributed to avoid shifting or the risk of damaged goods.
d) A bill of lading is to be given to the driver along with proper documentation.
3. Transporting Standards
a) Transportation of raw materials should be done in vehicles maintained for the purpose.
b) The transportation team must follow all safety regulations and driving standards.
4. Arrival Standards
a) Once arrived at the production site, the loader shall coordinate with the production team to unload the raw materials.
b) All personnel involved in unloading will wear the necessary PPE.
c) The production team will inspect the unloaded raw materials. Discrepancies will be reported to the transporter.
d) Bill of Lading will be reissued for the remaining items to be delivered as per the PO.
5. Records
All records of raw material transportation should be properly maintained, including the bill of lading, inspection report, and packing lists, in a segregated format.
5.0 Revision: This SOP will be revised as and when needed.
Training: All personnel involved in the transportation of raw materials will receive training on this SOP, as well as any revisions to it, as part of their induction process. All updates to the procedure will also be provided via Email and Memorandums.
